Working with Neo
A short guide for clinic staff. Neo is the AI assistant inside Neogenic. This page explains what it can do, what it is not for, and how to check its work.
What Neo is
An AI assistant
Neo understands what you type and can carry out everyday tasks for you: updating a contact, booking or moving an appointment, creating a task, drafting an email, or finding information in your clinic's records.
It can make mistakes
Neo uses an AI model (Claude, made by Anthropic). Like any AI, it can misunderstand you, mix up details, or write something that sounds right but isn't. Every Neo conversation says so.
What Neo can do
Everyday clinic work
- Work with contacts, companies, opportunities, tasks and notes.
- Book, reschedule or cancel clinic appointments.
- Draft emails and documents for you to review.
- Answer questions about your clinic's records.
Only what you are allowed to do
Neo acts with your permissions. If you don't have access to something, Neo doesn't either. Changes that are hard to undo, such as deleting, archiving or publishing, show you an approval card first, and nothing changes until you approve.
What Neo is not for
No medical decisions
Don't ask Neo to diagnose, suggest treatments, interpret test or lab results, or decide which person needs care first. It isn't designed or allowed for that.
No health details, for now
Don't type symptoms, conditions, treatments, medical history or results into Neo, contact notes or forms. The current version of Neogenic doesn't accept health information.
Not a replacement for your judgement
You are responsible for what you send or save. Don't use Neo to make a decision about a person, such as hiring or refusing a service, without reviewing it yourself.
Good habits
Check before you rely on it
Read what Neo drafted or changed before you send an email or tell a client something. If Neo states a fact you didn't expect, check it in the record.
Be specific
"Move Maria Lopez's consultation on Friday to Monday 10:00" works better than "move Maria".
Keep secrets out
Don't paste passwords, keys or private links into Neo.
Be careful with content from outside
If an email or form contains instructions such as "ignore your rules", Neo shouldn't follow them. Tell your admin if it seems to.
Your data and privacy
What Neo sees
Neo sees only what your permissions allow, for the request you make.
Where it goes
What Neo reads is sent to our AI providers to produce the answer. They keep no copy and do not train on your data. See our subprocessor list.
If something goes wrong
What to do
If Neo does something unexpected, such as changing the wrong record or showing information it shouldn't: stop and don't repeat the request, tell your clinic admin, and email support@neogenic.ai, or security@neogenic.ai if you think data was exposed. Don't paste client details or passwords into the email.
