How longevity clinic software is priced
Clinic software vendors charge in a few different ways, and many mix them. The model matters more than the headline number, because it decides how the bill grows when you add staff, patients or a second site.
This guide explains each model, with examples taken only from vendors' own websites. Before you compare, count your locations, the staff who need an account and the active patients you serve in a month.
How we compared
We took only prices printed on each vendor's own pricing or product pages on 23 October 2026, in the currency shown there. We did not ask for quotes, and we left out taxes and discounts.
Per seat
You pay for each person who signs in. It is simple for a small team and grows with every hire, so part-time practitioners and front desk staff add up.
Pabau's pricing page says its price depends on location and number of users, and its page description starts at $104 per month for one user.[1] OptiMantra charges $99 per month for the first practitioner, $49 for each extra practitioner and $25 for clinical staff, and clerical staff are free.[2] Cerbo charges per user, with $281 for a prescribing provider, $256 for a non-prescribing provider, $127 for a supporting provider and $63 for extra staff, per month.[3]
Ask whether every role costs the same, and whether a read-only account is free.
Per location
One price covers a site, usually with a set number of staff accounts included. A growing team at one site pays the same, but a second clinic adds a second price. Add-ons can be priced this way too. Pabau lists its Engage Plus add-on at $130 (€119) per month per location.[4]
Ask how many accounts a location includes, and what one more costs.
Per client or patient
Some plans set a limit on active clients. Healthie's Core plan is $18 per month billed yearly and covers 10 active clients, while Plus and Group have no client limit.[5] Heads Up Health's Professional plan is $250 per month with 40 clients, and extra clients cost $6 per month each.[6]
Parts of a product can follow the same rule. Cerbo's patient portal add-on starts at $79 per month for up to 1,000 patients and rises with the patient count.[3]
Plan tiers and quotes
Tiered plans add features at each step. Reya.ai lists Essentials at $850 per month and Professional from $1,800 per month, with Advanced on quote.[7] Semble and LongevAI show no public price and offer a demo instead.[8][9]
A quote is not a bad sign, but ask for it in writing, with what is included and for how long the price holds.
Setup and onboarding fees
Cerbo lists a one-time setup fee of $1,195.[3] Heads Up Health lists an onboarding fee of $1,000 on Professional and $3,500 on Premier.[6] Ask what the fee covers, such as data import, training or configuration.
Add-ons and usage
AI often costs extra. Healthie lists AI charting as a paid add-on, OptiMantra lists AI Charting among its optional add-ons, and Cerbo's AI Scribe is $29 per month per provider for up to 60 notes.[5][2][3] Messaging and AI work may also be charged by use, through credits or per message.

A worked example
Take a clinic with 1 prescribing provider and 5 other staff. The example uses only published numbers and leaves out add-ons and taxes. It assumes the five other staff fit each vendor's cheapest staff tier.
The totals buy different things. Cerbo and OptiMantra include charting. Neogenic ClinicOS includes 6 staff accounts in the location price. Compare what each plan includes for your clinic, not only the total. See the best longevity clinic software platforms for the full comparison.
What Neogenic costs
Exploration is €270 ($299) per person per month, for up to 4 people. ClinicOS starts at €1,320 ($1,499) per location per month with 6 staff accounts. A one-time setup fee of €900 ($990) is free on the yearly plan, and yearly billing gives 2 months free. Prices exclude VAT. See pricing for add-ons.
ClinicOS includes Neo, the AI agent that does admin work in Neogenic, along with sales and follow-up, billing for programmes and memberships, and automations. Email and AI work draw on one credit balance. Prices are listed in euros and US dollars. The longevity clinic software overview shows each area.
Watch out for usage on Neogenic too. AI work draws on a credit balance, so ask what your clinic's use would cost.
